Job Title: Operations Administrator
Location: Central Iowa
Job Type: Full-Time, Salaried, $50,000
Reports To: Executive Director
Position Summary
CultureALL is seeking an experienced administrative professional to perform administrative, accounting and clerical tasks related to the overall operations of the organization. This individual would work closely with the CultureALL staff and Board.
Key Responsibilities
30% ACCOUNTING
- Accounts Receivable/Accounts Payable, Journal Entries
- Transaction management
- Reconcile transactions in CRM (Salesforce) and Accounting (QuickBooks) databases
- Maintain records with exceptional attention to detail and accuracy
- Prepare weekly and monthly financial report packages
- Manage 1099 contractor document collection & distributions (W9)
- Prepare and distribute reports to Executive Director and Board
20% Donor Stewardship
- Distribute IRS Tax Acknowledgements for all gifts received
- Prepare weekly thank you reports for all donors and sponsors
- Liaise with the marketing team for sponsor appreciation
- Support granting process by tracking proposals including submission, funds received, acknowledgement, utilization and final report
20% Contract Management
- Collaborate with the Program Director and Program Coordinator to onboard new contract staff including performing routine background checks and contractor agreements
- Perform semi-annual audits of contractor database to ensure all filings are up to date
- Support staff with client contract collection & retention
20% MEETING & CALENDAR MANAGEMENT
- Support CultureALL Board with calendar management, document distribution, routine meeting communications
- Record meeting notes during staff meetings, distribute accordingly
- Support CultureALL team with administrative needs including Salesforce record entries for contacts and sales leads
10% MISCELLANEOUS
- Office equipment management & replenishment
- On-site attendance for programming & events
- Group calendar management & communications
Essential Skills and Qualifications
- Administrative or operations experience required
- Strong organization skills & attention to detail
- Proficiency in Quickbooks or similar software, CRMs, Excel/Google Sheets
- Experience in bookkeeping and/or more advanced accounting
- Written and verbal communication skills
- Ability to work autonomously, prioritizing and managing multiple deadlines
- Customer Service: Comfortable interacting with clients in person, by phone, or through email
- Project Support: Ability to assist with special projects and events as needed
- Office management: experience managing overall office technology, mail and inventory
